    • Lights should be replaced the same day the issue is reported.

The women's bathroom on the 4th floor (SW/blue section) is half dark because one of the lights needs to be replaced. I called Facilities at 8 AM Monday (1/8/18) and as of Friday (1/12/18), the light still has not been replaced. This is unacceptable. Even more confusing is that several facilities team members, those who clean the bathroom and empty the garbage, have seen this over the course of the week have, apparently, not reported it. For a relatively simple issue, lights should be replaced the same day the issue is reported.

      • Clean the bathrooms

Please clean the women's bathroom on the 4th floor of the southwest corridor. For the last few months, this bathroom has smelled awful! It's gotten to the point where I will go to different floors to go the restroom; all of which smell much better! If other bathrooms can be kept clean, I don't understand why this one should be any different.

          • Cardio Equipment in the Empty Cafeteria Space by the Windows

The empty cafeteria space is sitting idle and not being used! Put cardio equipment by the windows and allow staff to use the machines for free. The machines can be set up by the windows and have a great view of L'Enfant plaza's open space. This will lead to an energized work force and higher productivity rates. Clayton Homes in Knoxville, TN has a free state-of-the-art gym for their employees - why can't we do something similar? Instead of always finding a way to say "no," come up with a solution to get to "yes."

            • The HUD Emergency Alert system

The HUD Emergency Alert system is a good idea, however, I think a couple of improvements would make it even better.

First, when the automated system calls a person I think it would be more useful if it gave the basic message and then as many automated systems will do it will have you press a number (say, 2) for further information. Otherwise, to confirm you received the message press 1 and to hear it again press 0. This last time it took it two minutes to go through the entire message to let me know that for a three…

              • FOIA Improvement

When we receive a FOIA request we are required to compiled the requested information even when we know the documents won't be able to be released. This means significant staff time is spent compiling documents that will never be released. This takes staff away from their regular jobs and adds no value to HUD or its mission. The FOIA office should be able to make determinations before the information is completely compiled, particularly on documents that are frequently requested, but are not releasable. For example, we have received requests for 40 mortgage notes, which are not releasable, however, we had…

                • Records Retention Required Training

We were required to take a records retention HVU course. The entire training went through the importance of having a records retention plan, but then didn't actually discuss anything about HUD's record retention requirements/program. Please revise this training to include job specific records retention training so that employees know what the actual policy is.

                  • Reimbursement for Parking Fees Due to No Available Employee Parking

SAHOD does not have free available parking for its employees. Therefore, its employees have to pay a monthly garage parking fee of anywhere from forty dollars up. I am parking four blocks away from work for the $40.00 monthly fee. The closer you get to our building, the higher the parking costs. There is also a problem with disability parking as SAHOC has very limited parking even for this--there is a waiting list. Question, when SAHOC moved from its previous bldg. that had parking, why was employee parking not considered?

                    • Lead Water Pipes?

SAHOC bldg. has rust coming out of the kitchenette water faucets. This leads me to believe these are not copper pipes, but lead pipes. This is a health and safety concern for all the people who work in this bldg. Can we get a water test/clarity on this? Rust does not come out of copper pipes.

                      • Outfit Government Vehicles with EZ Pass

Equip government vehicles with EZ Pass systems. Many of the rates for EZ Pass are cheaper than tolls and there are discounts for bulk driving too (30 or more trips in a month) for some state systems. Plus, workers would no longer have to remember to carry cash when traveling in government vehicles, the agency would be billed directly, receipts would no longer have to be received at toll booths, and employees will not have to wait in traffic for cash tolls. Many rental car companies now provide EZ Passes, so why is the government not updating its fleet as…

                        • Please Ban the Use of E-Cigarettes in-side HUD Offices

I recently discovered that a fellow HUD employee has been smoking e-cigarettes in his cubicle and we share an office space. It took 2 months for me to discovered this. When I found out I informed the building administrator who told me that this employee has previously been advised not to do so but that there are no clear policy prohibiting the use of e-cigarettes in-side HUD offices. E-cigarettes emits an odorless vapor that contains nicotine and several states and Federal employers have already adopted rules to ban its use in the work place. I am pregnant and I find…

I would like to revive Lauren McNamara's Picnic Table request. The reason provided at that time related to the fiscal year budget, which may not be the case this year, and may not be the case next year either. What is going on with the green space on top the garage between HUD and L'Enfant Plaza?

These ideas will be evaluated with fresh eyes. Please be patient as we are managing all of ideas with our new vetting process. We will provide feedback to you as soon as possible.

HUD needs to have a Records Management System with a file plan for every office. There are software programs for this that once set up tell how long to keep files and when an office can dispose of them. We maintain way too many paper files because we do not know when we can dispose of them. Storing files with NARA is costing the government money also, and is not the answer.

                              • Use one Departmental wide budget for furniture, equipment, and space management

It is my understanding that each office has their own budget for furniture and space management. There seem to be stark differences in work environment based solely off of the office you are assigned to. There are offices within HUD that are currently getting new office spaces and furniture when their current furniture/space is nicer than other offices. HUD should complete a single budget and prioritize furniture purchases and renovations throughout the building.

                                • Supply room

HUD should have a supply room that contents supplies from offices that find they no longer need supplies that were previously order. Especially with office moves you can see that people would throw items away that could be reused by another office, if there was an open storage supply room office. Staff could take their unused supplies to the supply room.

                                  • Form an advisory committee to determine and implement HQs office space needs & improvements

In light that the Switchboard idea to rehab HQs/relocate HQs staff was denied, there remains many unanswered questions. Many valid points were raised that should be currently addressed, i.e.: black mold, cavernous walls, morale, pest, sanitation in restrooms, air quality - including stench that is allegedly from the sewage plant but smells like raw sewage and originates from the restrooms, lack of hot water, disproportionate stalls, lack of light, dirty outer space art installations, lack of outdoor sitting, lack of quality drinking water, dirty floors and carpet and lack of transparency w/ current "rehab" efforts. We understand budgetary constraints very…

Sorry that it has been a long time since hearing from Switchboard on this. As you know, HUD will be moving into a new and exciting strategic direction. With that comes changes in policies, processes and procedures. Switchboard is no different. We are moving all ideas from the Coming 20xx queues to Under Review. These ideas will be evaluated with fresh eyes. Please be patient as we are managing all of ideas with our new vetting process. We will provide feedback to you as soon as possible.

                                    • Expand webcast capability to the field

Currently, only headquarters has webcast capability. This means that we are limited to nationwide trainings that can be performed by experts in headquarters. Think of how many more national trainings people could get access to, if other offices also could perform webcasts. With limited training and travel dollars, this is a great way to expand training resources. Perhaps HUD could start out with a pilot and test the webcasts in the 4 HOCs.

                                      • Subsidize Bike Sharing Memberships for Field Employees

HUD is providing free BikeShare memberships for interested employees in headquarters. This is a great way for the Department to support green transportation alternatives as well as supporting the health of its employees. Can HUD also subsidize bikesharing memberships in the field where bikesharing systems exist? For example, the Denver Regional Office normally has a B-Cycle station located on the same block, which would be convenient for employees.

                                        • Flag superseded and/or expired Mortgagee Letters and HUD Notices on HUD Clips.

This could be done with a notation on the title description or by creating a separate column to show expiration date and/or replacement document. Also, letters & notices should be replaced in their entirety whenever possible as some letters have only a small portion or a few paragraphs still in place.
