  1. Upgrade Telework VPN

    Teleworkers lose a lot of time saving Microsoft Word and Excel and Adobe Reader PDF files on the network drives because the VPN network is so extremely slow and crashes often. Historically, HUD has paid about $100 million per year for the HITS contract. Why can't we get high-quality state of the art computer and network equipment from the IT contractors?

    • Upgrade Internet and Bring Back Local File Servers

      Was told HUD has one large contract with AT&T for internet services. In the city our office is in, I don't know one person who uses AT&T for internet. This has been a large hindrance on many employees ability to complete work in a timely manner.

      Also, our local file server was removed and now our network has to go to the regional office. Some employees wait 1-2 hours just to log in. Multiply all that time by all the field offices plus the wait time for saving files on the J drive and waiting for the J drive to…

      • Allow users to contact the IT Helpdesk by email for non-immediate issues

        There are times when a computer issue has to be solved "right now," but there are other issues that could be handled better by email communication. It would address several issues: 1) issues triage - should help the helpdesk with workload management; 2) visual assistance - instead of having to describe the error message (that may have disappeared five minutes ago), a screenshot could be sent; 3) communications accuracy - there would be no mis-translation of the problem, as sometimes happens with verbal explanations.

          • Add Name/Title to HUD Forms Requiring Signatures

            We have HUD forms that require people and entities to provide their signature (often attached to an important certification). However, many HUD documents don't have a space for the person or entity to print their name or their title. So often we just get an unreadable squiggle as a signature, and it's very difficult to know who actually signed these important documents.

            HUD-92432 (5/79) - Commitment for Insurance of Advances - is illustrative. It requires the mortgagor and mortgagee to provide their signature and date, but there is no where for the signer to print their name and title. This…

            • Allow for a longer period of time before archiving emails

              Please allow for a longer period of time before archiving emails. 60 days is way too short for the type of work that our program areas do. I am an underwriter and my projects are rarely ever completed in 60 days. This wastes a TON of time trying to open every email individually. Perhaps allow a longer period of time for employees who have supervisory approval to archive later? I understand that archiving is important, but staff time should also be considered in making these decisions. We are always saying we need more staff, but if we provided our staff…

              • Please fix VPN so it is compatible with Macs.

                The ability to remote in to your computer via VPN currently doesn't work with Macs ever since card readers became required. Card readers only work for PC and so Mac users are force to use the outdated HUDMoble for telework. Please fix this.

                  Various offices, directors, and supervisors publish documents for staff review and assistance by scanning a document into PDF and not using an OCR technology. OCR appears to be disabled on our Adobe Reader, and Nuance is hit or miss in converting these documents on a case by case basis...

                  Rather than physically print and scan a document to send to staff or to file on a serve (especially if the document does not contain signatures), could the individuals that are creating the documents simply convert them to PDF from their word processing program?

                  • Approve and Promote a Password Manager as Standard Software for All HUD Staff

                    While single sign-on may be coming in 2016, for the moment HUD staff still have an inordinate number of login information to track. And even after substantial consolidation, as long as "shared-services" like Concur and National Finance Center are part of HUD's Admin, there will still be multiple passwords to remember. That's in addition to the dozens of passwords for personal emails and other online accounts that employees need to maintain securely to protect their PII.                       Management and staff could greatly streamline business processes at HUD, if they knew what the requirements are to comply with the E-Sign Act (Electronic Signatures in Global and

                      • Eliminate Physical Mailing of Keycodes for Accessing the WASS System

                        Access to our Web Access Secure System (WASS) is required for our business partners to access HUD systems such as the Active Partners Performance System (APPS). Currently in order to access our systems keycodes are physically mailed to program participants, which significantly delays access to the system and often leads to lost keycodes. Lenders have reported this process delaying their application submissions by weeks while they attempt to track down the lost keycodes.                         • Active Desktop Software License Management

                          We need the capability to manage desktop software that is not part of the standard desktop configuration. In many cases software is installed on computers that is not being utilized while others who need the applications cannot get a copy to do their work. In addition, software is most likely purchased while there are licenses tied up that are not being used. If an application has not been used for six months then it should be uninstalled so it could be used by others.

                          • Better way to send electronic files to outside parties

                            This idea is to have a better way to share electronic files to outside parties instead of sending them through e-mail.

                            This pertains particularly to PDFs, which can be extremely large. When sending multiple PDFs to outside parties, we oftentimes run into the e-mail attachment size limits and are forced to send the files in several different e-mails which is confusing and an unnecessary waste of the recipient's inbox space.

                            Using a cloud-based service that both HUD and outside parties can access would be much more convenient for outside parties.

                            • Webcasts should be made compatible with Apple/Macintosh computers.

                              Recent calls to the HITS Helpdesk have resulted in the support stating the Webcasts are only available via the Internet Explorer browser. Microsoft had a version of IE for the Mac that they discontinued in 2005. This means that an employee that is teleworking, or works on a Mac in the field will either have to: 1. Lip-read, as sound doesn't work on the Webcast; 2. Download/Install/Run a non-vendor supported browser that hasn't been updated roughly 10 year (which would probably violate HUD IT Policy to use); 3. Constantly rearrange telework days to ensure being in the office on days…

                                According to Wikipedia the term Widows and Orphans "refers to one (and sometimes two) lines of a paragraph left by itself on a page. A widow is the last line of a paragraph left by itself at the top of a page; an orphan is the first line of a paragraph left by itself at the bottom of a page."                                 • Allow Us to Use the Audio Portion of Live Meeting

                                  I conduct numerous webinar trainings for the public using Live Meeting. While folks love being able to take training right at their computer, they consistently complain about having to use their telephone to listen to my presentation. In addition to being problematic for our public consumers, use of the conference line for audio restricts how many can participate in my webinars. Please allow us to use the Live Meeting audio feature.

                                    Replace EMC SourceOne with a company that can provide user-friendly, effective, efficient archived email management.

                                    The ability to access archived email is critical to job performance and the Agency's ability to function. EMC SourceOne has made this frustrating and cumbersome. Since HUD began using the new email archiving system, it has become a challenge to search and find specific archived email; and this function may not work at all while using VPN to tele-work. Currently, no archived email can be accessed at all and a master ticket has been created to address the problem. Not acceptable.

                                    • modify the privately subsidized apartment search to be more user friendly and graphically intuitive

                                      Today, a client searching for a project-based Section 8 property that fits their specific needs is extremely limited. Rather than have solely a geographic search (state, city, zip) with only the slightest number of property characteristics (client group served, number of bedrooms), wouldn't it be much more useful to be able to search not only by these criteria, but by other important details such as proximity to a bus stop, park, hospital, or grocery store?

                                      Currently, search results are returned in a list (as opposed to a graphic, map-based return), which provides no context to someone new to an city…

                                      • Single sign-on system with one password access to reduce the number of User IDs and passwords

                                        This would include HR connect (HITRS), HUD virtual university, WebTA, LOCCS, TEAM, Fedtraveler, NFC Personal Page, and HUD Ideas in Action.

                                        There is no reason for HUD to have so many passwords, it is impossible to remember all of them, especially since they change so often.

                                        One way of accomplishing this is to give employees access to one password technology software.

                                        • Make the content of HUD@Work more accessible for telecommuters

                                          Due to the difficulties in using HUDMobile and HUDVPN and the increase in use of OneDrive and Office 365, I would love to be able to access internal resources such as what is posted on HUD@Work much more easily. As an example, if I wanted to access the HUD Employee Handbook, it might take me as long as 15 minutes to log into HUDVPN then navigate to HUD@Work to get that information. I do most of my work on OneDrive, Office 365, and SharePoint so it would be great to have that kind of accessibility to all of HUD's internal…
